Terms and Conditions

1. General Information

1.1 These Terms and Conditions apply to all guided tours offered by Stories of Utrecht.
1.2 By booking a tour, you agree to these Terms and Conditions.

2. Booking and Payment

2.1 Group tours can be booked directly through our website. Your booking is confirmed once payment has been received.

2.2 Private tours require confirmation from Stories of Utrecht before they are officially booked. After submitting a request, you will receive a confirmation email along with an invoice for payment. Payment must be completed by the due date stated on the invoice to secure the booking.

2.3 Payment for group tours must be made in full at the time of booking via our secure online payment system.

2.4 It is the participant’s responsibility to ensure all booking details are correct before completing the reservation.

3. Cancellation and Rescheduling

3.1 Cancellations or rescheduling requests must be made at least 24 hours before the tour starts to receive a full refund or reschedule free of charge.
3.2 Cancellations made less than 24 hours before the tour start time or no-shows are non-refundable.
3.3 In case of severe weather conditions or unforeseen circumstances leading to a tour cancellation by Stories of Utrecht, participants will be offered an alternative date or a full refund.

4. Participant Responsibilities

4.1 Participants must arrive on time at the designated meeting point. Late arrivals may result in missing the tour, without entitlement to a refund.
4.2 Children must be accompanied by an adult at all times. Parents/guardians are responsible for the safety and behavior of their children during the tour.
4.3 Participants are expected to behave respectfully toward the guide, fellow participants, and the surroundings. Stories of Utrecht reserves the right to remove disruptive individuals from the tour without a refund.

5. Liability and Safety

5.1 Participation in the tours is at your own risk. Stories of Utrecht is not liable for injuries, damages, or loss of personal belongings during the tour.
5.2 Participants must follow all traffic rules and safety guidelines, especially for bike tours.
5.3 For tours involving a bakfiets, the guide will ensure safe use, but parents/guardians remain responsible for the children’s safety while riding.

6. Changes to the Tour

6.1 Stories of Utrecht reserves the right to make adjustments to the tour route or itinerary due to unforeseen circumstances (e.g., road closures, special events, weather conditions).
6.2 Significant changes will be communicated as early as possible.

7. Privacy Policy

7.1 Personal data provided during booking will be used solely for processing reservations and will not be shared with third parties, except when required by law.
7.2 Participants may be photographed during the tour for promotional purposes. If you do not wish to be photographed, please inform the guide before the tour starts.

9. Gift Card Terms and Conditions

Gift cards are valid for 24 months from the date of purchase.
It can be redeemed for any Stories of Utrecht family tour, including private or scheduled group tours.
The gift card is non-refundable and not redeemable for cash.
If the total booking amount exceeds the value of the gift card, the difference must be paid at the time of booking.
Gift cards cannot be used to purchase other gift cards.
The cardholder must book their tour in advance via email or the booking form.
Please mention the gift card code when booking.
